Woof CRM: B2B sales, production and stock in one system

A custom web CRM for Woof’s B2B sales: orders, per-client prices, production with batch numbers, stock, documents for the accountant, Telegram notifications and an AI assistant that answers from the system’s data.

01 / Context

Context

Besides the online store, Woof also sells B2B, to pet shops and veterinary clinics. Orders, stock, production and the accountant’s documents needed one place.

Before, the information was split between spreadsheets, messages and memory. Simple questions, like “how much do we have in stock?” or “who hasn’t ordered in a while?”, took time and checking.

02 / What we built

What we built

A web CRM that works on a phone and a computer, with the modules a business with its own production needs.

Orders
OrdersOrders with documents, payment in cash or through e-Factura, statuses and history. Each client has their own prices.
Production with batches
Production with batchesThe production sheet with batch numbers, a timer for dehydration and the hygiene sheet. Raw material from the freezer is deducted automatically.
Stock
StockStock by product and variant, with minimum thresholds. Anything that drops below its threshold shows up on the dashboard and in Telegram.
Internal requests
Internal requestsTasks with priorities, checklists and deadlines. They can be closed straight from Telegram with one button.
Pages for the bank and the accountant
Exports ready to send, with no manual copying.
Roles and permissions
Each user sees only what they need.
Clients and prospects
With individual prices, notes and scheduled follow-ups.
03 / Notifications

Telegram instead of email

Notifications in separate topics: new orders, status changes, low stock, requests. The team already lives in Telegram, and a notification that arrives where you look anyway is a notification that gets read.

Requests are closed straight from the message with the “Done” button, without opening the CRM.

04 / AI

“Ask AI”

The owner asks in plain words about orders, stock or trends and gets the answer from the CRM’s data.

  • “Which clients haven’t ordered in over 30 days?”
  • “How much beef trachea do we need for the open orders?”
  • “Which products are below the stock threshold?”

The assistant sees only the CRM’s data and refuses questions outside it, so its answers can be checked.

05 / On a phone

Orders are taken and closed from the warehouse, on a phone.

The same system, the same data, on the small screen: orders, stock, production and requests.

06 / Decisions

Why it is built this way

/01

Built to order, not bought, because production with batches and the hygiene sheet do not exist in standard CRMs.

/02

Telegram instead of email, because the team already lives there. A notification that arrives where you look anyway is a notification that gets read.

/03

The AI sees only the CRM’s data. It answers about the business, not about everything, so its answers can be checked.
